Terms of Service

What Our HVAC Services Cover

Last updated: October 2026

These terms apply to heating, cooling, ventilation, and indoor air quality work we perform at homes and businesses in Vermont. Our residential work follows the Vermont Residential Building Energy Standards, and commercial projects follow the Vermont Commercial Building Energy Standards.

Refrigerant handling is performed only by technicians certified under EPA Section 608, and we recover refrigerant before disposing of any equipment, as EPA rules require. Work on fuel-burning equipment complies with the Vermont Fire and Building Safety Code as administered by the Vermont Department of Public Safety Division of Fire Safety.

Some jobs fall outside a standard service visit. Permit applications through the City of Burlington Department of Permitting and Inspections, system design, major replacements, and energy audits are handled under a separate written agreement.

If a Burlington mechanical permit is needed, we will confirm requirements with city officials before work begins. Anything not listed on your invoice or proposal is not included in the agreed scope.

Appointments, Cancellations, and Changes

Appointments are scheduled by phone or email and confirmed with a date and arrival window. Because Vermont weather can shift quickly, emergency heating and cooling calls may take priority, and we will contact you promptly if your appointment needs to move.

If you need to cancel or reschedule, please give at least 24 hours notice. Cancellations made with less notice, or repeated no-shows, may result in a trip charge, which we will always explain before billing. If we need to reschedule on our end, you will not be charged.

During a visit, our technician may find issues beyond the original request, such as a failing blower motor discovered while repairing an air conditioner. We will explain the finding, provide updated pricing, and get your approval before doing any additional work. No scope changes proceed without your say-so.

Quotes, Pricing, and When Payment Is Due

We provide written estimates before most work begins. For straightforward repairs, the technician may quote on site; for larger installations, we prepare a written proposal after evaluating your system.

Estimates are based on what is visible and accessible at the time of inspection. If hidden conditions change the work needed, such as corroded ductwork behind a wall, we will stop, explain the situation, and revise the quote for your approval before continuing.

Payment is due upon completion of the work unless your proposal states different terms. Larger installations may include a deposit, with the balance due at project completion.

We accept the payment methods listed on your invoice. Prices do not include applicable Vermont taxes or permit fees unless the estimate says otherwise.

If you have questions about a charge, call us before the due date and we will walk through it with you.

Our Workmanship Warranty

We stand behind the quality of our installation and repair work. If a problem arises from our workmanship, contact us and we will return to correct it.

The warranty period for your specific job is stated on your invoice or proposal, so keep that paperwork handy. Equipment itself is typically covered by the manufacturer’s warranty, and we will help you register products and start a manufacturer claim when needed.

Coverage does not apply when the equipment has been serviced, altered, or repaired by someone else after our work; damaged by lack of maintenance, such as a clogged filter causing a coil to freeze; or affected by misuse, weather events, or building issues outside our control, like inadequate wiring or structural problems. Normal wear items, such as filters and belts, are not covered. Warranty work covers the labor and materials tied to the original defect only.

Limits on Our Liability

Our responsibility for any claim connected to our work is limited to the amount you paid us for that service. We are not responsible for pre-existing conditions we did not create, including code violations from prior installations, hidden water damage, undersized ductwork, or equipment installed by others. When we identify such conditions, we document them and discuss options, but correcting them is a separate job requiring its own agreement.

Our work is performed to applicable Vermont requirements, including the Residential and Commercial Building Energy Standards, the Vermont Fire and Building Safety Code for fuel-burning equipment, and EPA refrigerant handling rules. We are not liable for indirect or consequential losses, such as lost rental income, spoiled food from an outage, or hotel costs during a heating failure. Nothing in these terms limits liability that cannot be limited under Vermont law.

Questions About These Terms

If anything here is unclear, call us at (555) 010-0000 or stop by our office at 100 Main St, Burlington, VT. We would rather explain a term in plain language up front than have a misunderstanding after the work is done. You can also ask your technician during a scheduled visit, and they will note any clarification on your paperwork.

We may update these terms from time to time, for example when state code requirements change. The version in effect on the date you approve your estimate or schedule service is the one that applies to your job.

When we make updates, we will post the revised terms on our website, and significant changes will be mentioned on your next invoice or estimate. Continued use of our services after an update means you accept the revised terms.
